AI Hotel Import

AI Hotel Import for Travel Agencies

Build your hotel catalog in minutes, not weeks. Import supplier rate sheets from Excel or PDF, bulk hotel lists, or hotels from Google Maps and OpenStreetMap, and review everything before it is saved.

Included with Growth, Pro and Enterprise plans that have hotels. The TourVilo team switches hotel imports on for your agency, and owners choose which employees can import.

Duplicate detection against the hotels you already have

Live progress with real time-remaining estimates; imports keep running in the background

Three Ways to Import Hotels

1

AI rate sheet import (Excel, CSV & PDF)

Upload a supplier contract and AI extracts the rates straight into your hotel rate matrix.

  • Reads Excel, CSV and text PDF rate sheets, including merged cells and multi-page tables
  • Room types, seasons, meal plans, and single, double, triple and child prices
  • Weekday and weekend rates, minimum nights, taxes, service charges and supplements
  • Currencies kept exactly as printed, never converted
  • Unclear dates, "on request" prices and conflicting values flagged, never guessed
2

Bulk hotel import from Excel & CSV

Turn the hotel list you already keep into a complete hotel catalog in one import.

  • Sheets with a header row (Hotel name, City, Country, Stars, Phone) are matched directly
  • Other layouts and PDF lists are read by AI
  • Up to 300 hotels in a single import
  • Missing details and duplicates flagged before anything is saved
3

Import hotels from Google Maps & OpenStreetMap

Search by hotel name or city, pick the hotels you contract with and add them with their location.

  • Google Maps search with photos and ratings shown while you choose
  • OpenStreetMap search by name, or list the mapped hotels in a city
  • Hotels already in your catalog are marked in the results
  • Saves the address, phone, website and coordinates, linked to the map listing
Workflow Architecture

From File or Map to Hotel Catalog

01

Upload or Search

Upload a rate sheet or hotel list, or search Google Maps or OpenStreetMap for the hotels you work with.

02

Analyse & Validate

TourVilo reads hotels, rooms, seasons and prices, then checks them for missing values, conflicts and duplicates.

03

Review & Edit

Fix anything flagged, remove what you don't need and decide what happens to duplicates. Nothing is saved yet.

04

Confirm & Import

Each hotel is created with its rooms, meal plans, contract, seasons and rates, followed by a full import report.

Why Agencies Love This Feature

Weeks of Typing Saved

Supplier contracts and hotel lists go straight into TourVilo instead of being retyped room by room.

Accurate by Design

Values are copied exactly as printed. Anything unclear is flagged for you to check, never guessed.

Clean Hotel Catalog

Duplicates are caught before import, so every agent quotes from one correct hotel record.

Frequently Asked Questions

Is anything saved before I confirm the import?

No. The AI analysis only builds a preview. Hotels, contracts and rates are created only after you review the preview and press Confirm.

Which files can I import?

Excel (.xlsx and .xls), CSV and text-based PDF files up to 4 MB. Scanned PDFs that contain only images can't be read; upload the original Excel file or a text PDF instead.

Does the AI convert currencies?

No. Prices keep the currency printed on the sheet. A bare "$" is read as US dollars and shown as an assumption for you to confirm.

What happens if a hotel already exists in TourVilo?

TourVilo spots it and lets you choose: skip it, add the new rates to the existing hotel, or create a separate hotel.

Are Google ratings and photos saved?

No. Ratings and photos are shown while you search, to help you pick the right hotel. Only the place ID and the details you review are saved, in line with Google's terms.

Do map imports include room rates?

No. Map listings don't include contract rates. Add rates afterwards in the rate matrix, or import the hotel's rate sheet.

How are imports counted?

Each confirmed import uses one import credit, and only if at least one hotel is imported. Plans with hotels include a monthly allowance, and extra imports can be bought as one-time or monthly packs.

Who in my agency can import hotels?

The agency owner always can. Other team members need the Hotel Import permission, which the owner grants in Team โ€บ Permissions.
